Job Summary
The Executive Assistant position requires proficiency in the full range of general
office services and functions and knowledge of their department and work
assignments' benefits.
The Executive Assistant performs well-defined, semi-routine functions with limited supervision and requires
marginal technical knowledge of the department or assigned area.
The Executive Assistant must be creative and enjoy working in a mission-driven, results-driven, and
community-oriented environment. The Executive Assistant will be able to exercise sound judgment in a variety of situations and will possess strong written and verbal communication, as well as administrative and
organizational skills. The ability to maintain a realistic balance among multiple priorities is imperative. The
Executive Assistant must be able to work under tight deadlines and multiple tasks. Must be able to handle
pressure at times to handle various activities and confidential matters with discretion. Must be willing to work late hours and travel 50% outside of Georgia. Creative, highly versed in AI, MS365, and an out-of-the-box thinker. Must be able to write well with proper grammar and spelling.
Must be a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team at Sickle Cell Foundation of Georgia, Inc. The Executive Assistant will play a critical role in ensuring the smooth functioning of the organization by managing day-to-day administrative tasks, facilitating communication, and supporting key projects and initiatives.
TYPICAL DUTIES AND RESPONSIBILITIES
• Develop and maintain effective working and business relationships with employees and partners.
• Executive Support
• Provide high-level administrative support to the executive team, including the Executive Director and other
senior staff members.
• Manage executives' calendars, schedule appointments, and coordinate meetings and conference calls.
• Prepare agendas, presentations, and other materials for meetings and events.
• Handle sensitive and confidential information with discretion and professionalism.
• Must have flexibility and be willing to assist in any area in the organization.
Communication and Correspondence
• Serve as the primary point of contact for internal and external stakeholders, including donors, board
members, and partners.
• Manage email correspondence, draft communications, and respond to inquiries on behalf of the executive
team.
• Ensure effective communication flow within the organization by disseminating information and updates as
needed.
Administrative Support
• Organize and maintain files, records, and documents, both electronic and hard copy.
• Coordinate travel arrangements, accommodations, and itineraries for executive staff as required.
• Assist with expense reporting, invoice processing, and budget tracking.

Project Coordination
• Support the planning, execution, and follow-up of key projects and initiatives led by the executive team.
• Collaborate with team members across departments to ensure project deadlines and deliverables are met.
• Prepare reports, summaries, and presentations to communicate project progress and outcomes.
Event Planning and Logistics
• Assist with the planning and coordination of special events, meetings, and fundraising activities.
• Coordinate logistics, venue selection, catering, and other event-related tasks as necessary.
• Provide on-site support during events to ensure smooth execution and attendee satisfaction.
• Attend all events, and work some Saturdays.
WORK ENVIRONMENT AND PHYSICAL CHARACTERISTICS
Position involves sitting for extended periods while working at a computer terminal.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of:
• Contemporary office practices, procedures, and techniques.
• Spelling, vocabulary, math, and grammar skills appropriate to the level of the position.
Skills in:
• Operating a computer and various software packages (MS Office 365 including Outlook, Teams and Zoom)
• Operating a variety of office equipment;
• Creating, organizing, and keeping records as assigned.
Ability to:
• Utilize MS Office or other operating/information systems and databases.
• Locate information using electronic resources, including the Intranet and Internet, as assigned.
• Develop and maintain effective working relationships;
• Pay attention to detail, and meet supervisor expectations
• Maintain a reliable and dependable attendance record;
• Provide useful and responsive service to department customers and contacts;
MINIMUM QUALIFICATIONS
• Bachelor’s degree or at least five to seven years as an Executive Assistant, Nonprofit Management, or
related field preferred.
• Proven experience (X years) working as an executive assistant or in a similar administrative role, preferably
in the nonprofit sector.
• Exceptional organizational skills with the ability to prioritize tasks and manage multiple projects
simultaneously.
• Strong written and verbal communication skills, with a keen attention to detail.
• Proficiency in Microsoft Office Suite and other relevant software applications.
• Ability to exercise discretion, maintain confidentiality, and demonstrate professionalism in all interactions.
• Excellent interpersonal skills with the ability to build relationships and collaborate effectively with diverse
stakeholders.
• Flexibility and adaptability to thrive in a fast-paced and dynamic work environment.
EXEMPT STATUS: Exempt
SALARY: $50,000.00
